Please read these terms carefully. By making a reservation, you acknowledge and agree to abide by all policies herein.
Reservations require a deposit to be submitted within seven (7) days of booking, unless your rental contract indicates otherwise. During this period, the property will be held tentatively. If the deposit is not received within the allotted time, your reservation will be canceled automatically. Even after your deposit is paid, you must still meet the deadline for paying the remaining rental amounts as indicated in your rental paperwork. If a reservation is made within 30 days of the check-in date, the full balance (security deposit, rent, and any other charges) must be submitted at the time of booking. All reservations are final and non‑revocable once confirmed and approved by the owner.
A non‑refundable booking fee of $150.00 is on every reservation. This covers administrative costs and is not subject to refund under any circumstances.
Pricing and availability of listed properties are subject to change prior to confirmation. Once you submit a deposit and your reservation is approved, the quoted rental amount is locked and will not change. However, in cases of emergency, occupants may be relocated to a comparable property. Every effort will be made to arrange an equivalent unit, but any difference in cost (if the alternate property is higher priced) will be your responsibility.
Properties within the City of Sonoma are subject to a 15% transient occupancy tax, and those in Sonoma County (outside city limits) are subject to a 14% tax. Quoted rental rates (online or by phone) do not include tax; the applicable tax will be added and itemized on your rental agreement.
All payments must be made in advance. Acceptable forms of payment include personal check, cash, money order, cashier’s check, Visa, MasterCard, Discover, or electronic wire transfer (please contact our office for wiring instructions). Credit card payments incur a 3% processing fee and ACH/Wires incur a $15/transfer fee.
If you cancel your reservation more than 30 days prior to your scheduled arrival, all payments (excluding the $125 booking fee and processing fees) will be refunded to you. If cancellation occurs less than 30 days before arrival, you will be responsible for the full rental amount.
A security deposit is required for every rental. That deposit will be refunded within 21 days after your departure, provided there is no damage beyond normal wear and tear, no missing items (keys, remotes, linens, etc.), the property is left in the same condition as when you arrived (tidy and clean), all trash and debris have been disposed properly, and there are no unpaid or outstanding charges (rent, utilities, etc.). In some cases, a portion of the deposit may be held beyond the 21‑day period to cover pending charges (such as utility bills). Woodfield Properties acts as agent for the homeowner in disbursing the deposit. Any disputes concerning the return of the security deposit are between the occupant and the homeowner; Woodfield Properties bears no liability in those disputes. The occupant hereby releases Woodfield Properties from liability in connection with the deposit return.
When you rent a property from Woodfield Properties in the Sonoma Valley area, you accept that the owner retains full legal and possessory rights, including the right of immediate access. Your stay is as a transient lodger for the term stated in your rental agreement, assuming no breach of contract occurs.
Check‑out time is 10:00 AM. Since housekeeping typically begins immediately, failure to vacate by the scheduled check‑out time will result in a fee of $100 per hour, deducted from your security deposit.
Occupancy is limited to the number of guests disclosed to and approved by Woodfield Properties in your rental agreement. Unauthorized additional occupants, parties, or gatherings are prohibited and will result in immediate eviction and forfeiture of your deposit. Occasional visitors are acceptable, but any extra usage not approved in advance may incur additional charges. Subletting is strictly forbidden. Use of the premises for commercial purposes (e.g. filming, photography, events) is likewise prohibited and grounds for full deposit forfeiture.
Pets are not permitted unless explicitly approved in writing in advance. If an unauthorized pet is on the property, the occupant will face immediate eviction and loss of the full security deposit. If a pet is approved, the occupant is fully responsible for any damage, stains, chewed upholstery, linens, or any infestation (fleas, ticks, etc.), including required treatments or cleaning.
Smoking of any kind is strictly prohibited inside or around the property. Detection of smoking during your stay will result in eviction and forfeiture of the entire security deposit. You will also be held liable for all cleaning costs, smell removal, burn repairs, staining, and disposal of cigarette butts.
For properties with heated swimming pools, an additional daily heating charge of $150-$200/day applies (subject to seasonal variation and property) for daily or weekly stays. For monthly renters, pool heating costs will be included in utility charges that will be posted based on daily usage during that time period.. Any abnormally high utility usage or charges—regardless of intent—will be deducted from your deposit.
The owner does not insure the occupant’s or guest’s personal property (including vehicles) against loss, damage, theft, fire, vandalism, water events, or other causes. The owner also does not insure against personal injury except where caused by the condition of the premises. We strongly encourage occupants to secure insurance covering personal property and liability for themselves and their guests. The occupant agrees to indemnify, defend, and hold harmless both the homeowner and Woodfield Properties from any claims, liabilities, judgments, legal costs, or attorney’s fees arising from injury, loss, damage, or disputes associated with the stay.
This agreement grants only transient occupancy rights and does not establish a tenancy. The owner retains full rights to the property, including legal access. Any violation of these terms may result in immediate termination of your stay, eviction without refund, forfeiture of your security deposit, and pursuit of legal damages if applicable.

By submitting your payment and confirming your reservation, you affirm that you have read, understood, and agree to adhere to all of these Terms & Conditions and Rental Policies.
